Our team of Executive Assistants work hard to support our senior executives across the globe. Whether it's taking care of calendar management, compiling quarterly presentations, or connecting the dots between internal and external team members, our EAs are the ones behind the scenes crossing the T's and dotting the I's to ensure our clients have what they need. And while many EAs may work independently, the EAs at Groupon are a close-knit team, providing backup for each other when needed.

As our newest Executive Assistant, you will support our Chief Marketing Officer and several members of the leadership team. Your role is essential and highly visible, as you will spend your time multi-tasking and collaborating with individuals across the organization. Experience supporting multiple senior executives at the enterprise-level and/or at global companies is crucial, as you'll be taking on a broad span of responsibilities in this role.

You’ll spend time on the following:

  • Heavy scheduling and calendar management including global efforts.

  • Ensuring executives have appropriate materials and have scheduled time to be prepared for meetings.

  • Manages all travel arrangements some of which can be quite complex and will be global. 

  • This includes meeting set up, travel arrangements, lodging, meals, expense reports, etc.   

  • Organizes and orchestrates staff/team meetings and other group events.

  • Proactively coordinates the annual calendar.

  • Coordinating speaking engagements internally and externally. 

  • Managing invoice payment and expense reports.

  • Additional administrative work as required, including document management, and coordination with other executive assistants and administrative staff to ensure processes run smoothly.

  • Ability to adapt and adjust coverage as needed. 

We’re excited about you if you have:

  • Minimum 5 years of recent experience in an executive support role preferably within a large organization and supporting multiple executives 

  • A high level of discretion and maturity.  

  • Attention to detail.

  • Excellent skills in Google Suite (Docs, Calendar, Sheets, Mail) as well as Powerpoint.

  • Strong calendar management skills, including the coordination of complex executive meetings and scheduling across numerous internal and external contacts.

  • An entrepreneurial approach to task management, ability to take control and manage tasks independently to closure.

  • Self-starter and a high level of proactivity.

  • Ability to respond quickly to requests and adjust schedules on the fly to accommodate executive needs.
